Keep the next sales action visible and stop reminders when the lead changes state.

Understand the process

Salespeople lose track of enquiries when follow-up dates live in separate notes. A scheduled workflow can find due tasks, check the latest lead state and notify the owner. Begin with internal reminders; customer messaging needs separately agreed templates, permissions and channel rules.

How to approach the implementation

Define eligibility

Agree which statuses need follow-up, the next-action field, working hours and timezone. Exclude closed deals, opted-out contacts and records with an existing completed action.

Recheck before acting

Read the current CRM state immediately before sending a reminder. A lead may have replied or been closed since it first entered the queue.

Record the reminder

Store an action key combining the task and reminder period. This lets retries avoid sending the same reminder repeatedly and gives supervisors a useful history.

Define escalation and stopping

Escalate an overdue task after an agreed interval. Stop when the next action is completed or the lead becomes ineligible; do not create an endless reminder loop.

Watch out for

A long delay followed by an unconditional message can contact someone whose circumstances changed. Always recheck the record.
