Understand the process
A booked sales call can remain disconnected from the original enquiry. This workflow links a calendar booking to a CRM contact and updates it when the booking changes. It gives the salesperson context before the call and prevents reminders for meetings that no longer exist.

How to approach the implementation
Identify the booking
Use the booking provider’s event ID and record the event type. Store the original timezone alongside a consistent timestamp for processing.
Match the contact
Prefer an existing CRM reference from the booking link. If matching by email, handle absent or ambiguous matches through a review queue rather than updating an arbitrary contact.
Create the sales activity
Save the meeting details, meeting link and responsible person. Add a preparation task based on the service the prospect selected.
Handle rescheduling and cancellation
Update the same CRM activity using the booking ID. Cancel related tasks when appropriate and protect against delayed events overwriting a newer booking state.

Watch out for
A new booking event and a reschedule event may describe the same meeting. Treat event identity separately from contact identity.
