Understand the process

Enquiries can sit in an inbox without a clear owner. This design turns a form submission into a validated CRM record and an internal notification. For example, a visitor requesting a website quotation can become a lead with the original request and source attached. This is an illustrative design, not a reported customer result.

How to approach the implementation

Receive the submission

Use a supported form integration or a server-side request to an authenticated webhook. n8n has separate test and production webhook URLs; verify which address your form uses when going live.

Map and validate fields

Agree required fields and map names, email, company, service and source to the CRM schema. Route incomplete records for review instead of silently dropping them.

Prevent repeated creation

Use the submission ID as a deduplication key where possible. Decide whether an existing contact should receive a new enquiry activity rather than a second contact record.

Assign and confirm

Set the lead owner or queue, then send an internal notification with the CRM link. Store the destination record ID so a retry can verify what has already succeeded.

Watch out for

A timeout does not prove that the CRM failed to save the record. Check the submission key before retrying creation.
