Google Sheets to WhatsApp automation works best when the spreadsheet is a controlled work queue. A row should describe a permitted message, its recipient and its current state. Treating every new row as an instruction to send immediately makes mistakes difficult to catch.

This guide proposes an n8n workflow for a small team sending an agreed appointment or service update. It is a blueprint to adapt and test, not a ready-connected template or a bulk-messaging service. Official documentation was reviewed on 3 October 2026.

What the workflow should do

Proposed flow: Schedule → read eligible rows → validate consent and fields → claim one job → send using the approved route → save the message ID → process delivery updates → send exceptions to a person.

The n8n Google Sheets node supports reading and updating rows. WhatsApp sending uses a separate supported API connection, such as the WhatsApp Business Cloud node. The spreadsheet itself does not grant messaging permission or provide delivery guarantees.

Set up the sheet before the automation

Use a stable job identifier rather than relying on row position. Sorting, inserting or deleting rows can change positions. Restrict who can approve work and protect columns that the workflow maintains.

Avoid using a single “sent” checkbox for every stage. Staff need to know whether an API accepted a request, whether delivery was confirmed or whether the outcome is unknown.

1. Connect the accounts with limited access

Connect the Google account or approved service account using the n8n Google credential instructions. Give the integration access only to the records it needs. Store API credentials in n8n’s credential system, not in the sheet.

Prepare the WhatsApp connection separately and send an initial test to an authorised test recipient. Confirm the account, number, message type and template identifiers before reading business rows.

2. Read only eligible rows

For this design, run a schedule and select rows that are approved, due and ready. Validate required template variables, recipient format and the documented messaging permission. Route incomplete rows to review instead of trying to guess the missing information.

Use a business-defined timezone consistently. Store timestamps in an unambiguous format and test a row scheduled around midnight. A time displayed in a sheet is not enough if the workflow interprets it in another timezone.

3. Prevent the same job running twice

Google Sheets is useful for a small operational interface, but a row status update is not a transactional queue lock. Two overlapping executions can both read “ready” before either changes it.

For a tightly controlled pilot, avoid overlapping runs and restrict manual edits while processing. For production work where duplicates matter, use a durable job store with a unique job ID and an atomic claim operation. Let the sheet show the business-facing state while the queue controls execution.

4. Send the appropriate message

Select the supported messaging operation and map only validated fields. Where a template is required, its identity, language and parameter structure must match the approved configuration. Follow the WhatsApp Business Messaging Policy, including permission and opt-out requirements.

For example, a service reminder might use a previously approved template populated with the customer name, appointment date and a reference. This is an illustrative mapping, not an approved template supplied by this article.

Do not assume that an imported phone list is eligible for outreach. Recheck opt-out state at execution time so that a withdrawal after scheduling is still respected.

5. Save the result and handle delivery updates

When the provider accepts the request, store its message identifier and an accepted state. Process status events separately to mark delivery or failure. Keep the error understandable to the operator, without logging secrets or unnecessary customer data.

A timeout requires care: the message might have been accepted even though the workflow did not receive the response. Mark the job for reconciliation rather than immediately sending it again. Use a bounded retry policy for failures known to be safe to retry.

Test before using real business rows

  • A complete approved row produces one intended test message.
  • An unapproved row produces no message.
  • A missing template variable produces a review state.
  • Two executions do not both claim the same job.
  • A moved or sorted row remains linked by its job ID.
  • A delivery failure appears in the operational view.
  • An opt-out added after scheduling prevents the send.
  • An uncertain timeout is reconciled instead of blindly resent.

Document how a staff member pauses the automation and who reviews failed jobs. A clear stop procedure is part of the workflow, not an afterthought.
