Start client onboarding when a deal is won
Create a consistent handover from sales to delivery.
Understand the process
A won deal often triggers a chain of manual tasks: collecting documents, creating a project and introducing the delivery team. This design begins only after the agreed commercial conditions are met and creates a trackable onboarding checklist.

How to approach the implementation
Define the start condition
Decide whether a won status is enough or whether a signed agreement or confirmed deposit is also required. Use verified states from the relevant systems.
Create one onboarding record
Use the deal ID as a stable key and store the resulting project ID. Reopening and closing a deal must not create duplicate projects.
Assign role-specific tasks
Create tasks for the project manager, delivery team and client coordinator with clear due dates. Request access through an approved channel rather than placing credentials in task descriptions.
Track blockers
Keep missing documents and approvals visible. Escalate overdue prerequisites to the owner and distinguish blocked onboarding from completed onboarding.

Watch out for
Folder creation is not the same as completed onboarding. Track each prerequisite and its responsible person.
