How to approach the implementation
Choose one repeated hand-off
Write down who starts the process, where the information comes from and what a successful outcome looks like. A website enquiry reaching the correct salesperson is a better starting scope than automating the entire sales department.
Check whether the systems can connect
Ask whether each tool provides an API, webhook or suitable connector and whether your subscription permits access. A missing integration may require custom development or a different process.
Separate rules from decisions
Use explicit rules for predictable actions. Keep a person involved where the decision is ambiguous, sensitive or difficult to reverse. AI is optional; many useful workflows need no language model.
Agree how the workflow will be operated
Name a person who can review failures and approve changes. Document the manual fallback before the first live run.
