A lead record is only useful when someone owns the next action. An assignment workflow applies agreed business rules, records the chosen owner and flags cases that do not match. It should also account for unavailable people instead of sending every enquiry to a fixed address.

How to approach the implementation

Create an assignment table

List service areas, regions and responsible people in an agreed source. Include an active status and a default team queue for unmatched cases.

Apply the rules consistently

Use clear priority when multiple rules match. If workload rotation is required, store assignment state centrally and prevent simultaneous executions from choosing from stale state.

Save before notifying

Write the owner and assignment reason to the CRM. Send the person a task or notification that links to the record, avoiding unnecessary personal data in messages.

Handle missed hand-offs

Define what acknowledgement means and when a supervisor should be notified. Reassignment should update the same lead and preserve the previous owner in its history.

Round-robin assignment is not just a counter in a workflow. Parallel arrivals need a consistent shared allocation mechanism.
